Case Process Timeline & Facts Chronology

Vilulia Arbitrate now provides two complementary timeline features: a Case Process Timeline visible to all participants, and a private Case Facts Chronology for the arbitrator. Together they provide comprehensive chronological tracking of both procedural activity and substantive dispute events.

Case Process Timeline

The Timeline tab shows all case activity in a visual chronological format with color-coded icons. Events include:

  • Document uploads
  • Deadline changes
  • Hearing status updates
  • Brief submissions
  • Award events

Parties can see the timeline through the portal, but internal administrative events are automatically filtered out of their view.

Case Facts Chronology

In the Hearing Notes tab (for arbitration) or Mediator Notes tab (for mediation), there is a Case Facts Chronology section at the bottom. This is where you manually build a timeline of key events from the actual dispute.

Each entry includes:

  • Date — When the event occurred
  • Title — Brief event name (e.g., "Grievance filed")
  • Description — Detailed description of the event
  • Category — Classification of the event type
  • Linked document — Optional reference to an uploaded document
  • Disputed flag — Mark facts as disputed and note which party disputes them

The Case Facts Chronology is completely private — only the arbitrator (or mediator) and tenant admins can see it.

Deadline Reminders

The system automatically sends notifications at 7 days, 3 days, and 1 day before each arbitration deadline:

  • Witness list due dates
  • Brief deadlines
  • Discovery deadlines
  • Award deadlines (sent only to the arbitrator)

Document Submission Lock

When a brief or witness list deadline passes, the system automatically prevents parties from uploading that document type. Parties see a clear message explaining that the deadline has passed and directing them to contact the arbitrator for an extension. The arbitrator can always upload documents regardless of deadlines — the lock applies only to parties.
