Settlement Finalization and E-Signature

Once the parties have agreed on terms, Vilulia finalizes the settlement and sends it to all parties for legally binding electronic signature via DocuSign. When every party signs, DocuSign notifies Vilulia via webhook, the settlement is marked signed, and any Stripe escrow funds held for the case are released automatically. The mediator then closes the case as settled. If DocuSign is not connected, parties sign through their portal instead.

Finalizing a settlement

From within a mediation case, open the Agreements tab. Once an agreement has been drafted, reviewed, and issued, click Send for Signature on the issued agreement. When DocuSign is connected, Vilulia generates a PDF of the settlement agreement and creates a DocuSign envelope addressed to all parties on the case. Each party receives a signing invitation by email with a link to review and sign the document. Envelope status is tracked in the E-Signature tab of the case.

Envelope status tracking

Vilulia tracks the DocuSign envelope through the following states:

  • Created: envelope has been created in DocuSign but not yet sent.
  • Sent: envelope delivered to all parties.
  • Delivered: at least one party has opened the document.
  • Signed: signing is in progress, with some but not all parties having signed.
  • Completed: all parties have finished signing.
  • Declined: a party has refused to sign.
  • Voided: envelope has been cancelled.

Status updates appear in the case record in real time via DocuSign webhook events.

Automatic escrow release

If your settlement involves a monetary payment collected through Vilulia's Stripe Connect integration, the escrow funds are released automatically when the envelope reaches Completed status. This is triggered by a DocuSign webhook event, with no manual release required.

Declined signatures

If a party declines to sign, the envelope is marked declined and the settlement is marked rejected. The mediator can revise the agreement and send a new envelope once the parties agree on updated terms.

DocuSign connection requirement

DocuSign is optional. When connected, it powers the e-signature workflow with one DocuSign connection per organization (not per user). When it is not connected, parties sign through their portal. See DocuSign E-Signature for setup steps.
