Inviting Your Team

Organization admins can invite mediators, arbitrators, case managers, and viewers to join your Vilulia account. Invited users receive an email with a link to set up their account. The number of users you can invite depends on your plan's seat limit.

Who can invite users

Only users with the tenant_admin role can invite new team members. Mediators, arbitrators, case managers, and viewers cannot send invitations.

How to send an invitation

From the Vilulia admin panel, navigate to Settings → Team and click Invite Member. You will be prompted for the following:

  • Email address (required) — the invitee's work email.
  • Role (optional, default: mediator) — choose from mediator, arbitrator, case_manager, or viewer.
  • First and last name (optional) — pre-fills the invitee's profile.

After submitting, Vilulia sends the invitee an email with a link to /accept-invite?token=.... The invitee clicks the link, sets a password, and their account is activated within your organization.

Invitation expiry

Invitation links expire after 7 days. If an invitee does not accept within that window, you will need to resend the invitation from the Team settings page.

Seat limits

Each plan tier has a maximum number of users. If your invitation would exceed that limit, the invite will be rejected. To add more users, upgrade your plan or contact your account manager. Current limits: Starter — 3 users; Professional — 10 users; Enterprise — unlimited.
