Settlement Finalization and E-Signature

Once the parties have agreed on terms, Vilulia finalizes the settlement and sends it to all parties for legally binding electronic signature via DocuSign. When every party signs, DocuSign notifies Vilulia via webhook, the case status updates to "Settled," and any Stripe escrow funds held for the case are automatically released. DocuSign must be connected to your Vilulia organization before you can trigger the signing workflow.

Finalizing a settlement

From within a mediation case, open the Agreements tab. Once an agreement has been drafted and approved, click Send for Signature in the agreement editor. Vilulia generates a PDF of the settlement agreement and creates a DocuSign envelope addressed to all parties on the case. Each party receives a signing invitation by email with a link to review and sign the document. Envelope status is tracked in the E-Signature tab of the case.

Vilulia tracks the DocuSign envelope through four states: Sent (envelope delivered to all parties), Viewed (at least one party has opened the document), Signed (all parties have completed signing), and Declined (a party has refused to sign). Status updates appear in the case record in real time.

Automatic escrow release

If your settlement involves a monetary payment collected through Vilulia's Stripe Connect integration, the escrow funds are released automatically when the signing is completed. This is triggered by a DocuSign webhook event — no manual release is required.

Declined signatures

If a party declines to sign, the envelope is voided and the case status returns to Open. The mediator can revise the agreement and send a new envelope once the parties agree on updated terms.

DocuSign connection requirement

The e-signature workflow requires DocuSign to be connected to your Vilulia organization. There is one DocuSign connection per organization (not per user). See DocuSign E-Signature for setup steps.
